1. Scope

This Policy describes how Speed-to-Lead processes information in connection with the Service, for both business customers ("Customer," "you," when acting as an account holder) and the individuals ("Leads") who contact a Customer's business through the Service. Each business Customer is separately responsible for its own privacy notices toward its own leads and customers where required by law; this Policy describes Speed-to-Lead's own processing as the platform operator.

2. Categories of information processed

CategoryExamples
Account informationBusiness name, owner/team member name, email, phone, password (stored as a salted hash, never in plain text)
Lead contact detailsName, phone number, email address submitted by a Lead
Lead conversation contentMessage text exchanged between a Lead, the AI assistant, and human operators; service requests; booking details
Commercial informationPlan, billing status, payment events (processed by the payment provider; Speed-to-Lead does not store full card numbers)
Support informationSupport ticket content, category, and resolution history
Operational/security logsAuthentication events, API key usage, audit records of who accessed which account or Lead record and when

3. Sources of information

Information comes directly from business Customers who configure an account, directly from Leads who submit a hosted form, embedded widget, connected website form, or API integration, and from Providers acting on Customer's or Speed-to-Lead's behalf (for example, delivery-status updates from a messaging Provider, or payment-event data from a payment processor).

4. How information is used

Information is used to: operate lead intake, messaging, and booking workflows; generate AI-assisted conversation replies and support triage; provide the operator console and account administration tools; process billing; detect and prevent abuse and fraud; maintain security, including audit logging of access to Lead data; and provide customer support. Speed-to-Lead does not use Lead Data to train general-purpose models outside the scope of providing the Service, and does not sell Lead Data or Customer Content.

5. Sharing with service providers

Speed-to-Lead shares information with the following categories of service providers ("Providers"), each acting to deliver a specific Service function and bound by their own applicable terms:

ProviderCategoryPurpose
Vercel Inc.Hosting / infrastructureRuns the application
Neon (Databricks, Inc.)Database hostingStores account, Lead, and conversation data
Twilio Inc.Messaging (SMS)Sends and receives text messages on Customer's behalf
OpenAI, L.L.C.AI model providerGenerates conversational replies and support-triage output from conversation context Customer has approved for this purpose
Make (Celonis, Inc.)Automation platformRoutes structured events between the Service and the messaging/AI Providers
Stripe, Inc.Payment processorProcesses subscription billing; handles card data directly, not stored by Speed-to-Lead
Google LLC (Google Calendar)Calendar providerWhere configured, reconciles booking confirmations

Each Provider processes information only as needed to perform its function and under its own published terms, including the data-processing and security terms applicable to its service. Speed-to-Lead may add or replace Providers from time to time and will update this list when it does.

6. AI processing

Where a Lead's conversation is routed to AI-assisted reply generation, the message content, the business's approved FAQs/services, and recent conversation history are sent to the configured AI model Provider to generate a proposed reply, which is validated against configured business rules before being sent. No private SMS content, phone number, or other Lead-identifying detail is used as a valid input to any automated marketing, weekly-results, or public-facing content feature; those features use aggregate metrics or explicitly owner-approved content only.

7. Cookies and similar technology

The Service sets one strictly-necessary cookie (a signed, random session identifier) to keep a logged-in user signed in. It contains no readable profile or tracking data, is not accessible to page scripts, and is not shared with any advertising or analytics network. The Service does not currently use third-party analytics, advertising, or tracking cookies.

8. Retention

Speed-to-Lead retains account and Lead data for as long as the Customer account is active, plus a limited period afterward to support account recovery, legal, tax, and security obligations.

CategoryRetention period
Account information, Lead contact details, and Lead conversation contentFor the life of the Customer account; deleted or de-identified within ninety (90) days after account closure or a verified deletion request
Billing and transaction recordsSeven (7) years, as required for tax and accounting purposes
Support informationTwenty-four (24) months after the request is resolved
Operational and security logsUp to twenty-four (24) months
Opt-out records (for example, STOP requests)Retained for as long as needed to continue honoring the opt-out

Information may be retained beyond these periods where required by law, to resolve a dispute, or to enforce an agreement. Copies held in routine backups are overwritten on the backup rotation schedule.

9. Security

The platform is designed around per-business (tenant) data isolation enforced at the database-query level, salted password hashing, database-backed sessions with secure/HTTP-only cookies, role-based access control, rate limiting on public and authentication endpoints, an audit trail of who accessed or exported Lead data and when, and encrypted connections between the application and its database. No security measure is perfect, and Speed-to-Lead cannot guarantee absolute security of information transmitted or stored.

10. Your choices and rights

Business account owners can access, correct, and export their account's Lead data through the operator console, and may request account or data deletion through the in-product Support Center. Leads may opt out of automated messaging at any time using the supported opt-out keyword (for example, STOP) on any conversation.

Depending on where an individual resides, applicable law may provide the right to request access to, correction of, or deletion of personal information, to obtain a copy of it in a portable format, and to opt out of the sale or sharing of personal information or of targeted advertising. Speed-to-Lead does not sell personal information and does not share it for targeted advertising.

Speed-to-Lead processes Lead Data on behalf of, and at the direction of, its business Customers. A Lead who wishes to exercise a privacy right regarding that information should contact the business they communicated with; Speed-to-Lead will assist that Customer in responding, and will refer to the Customer any such request it receives directly. Account holders may submit a request regarding their own account information through the in-product Support Center. Anyone without an account may send a request to support@usespeedtolead.com.

Speed-to-Lead will verify the identity of the requester before acting on a request, and will respond within forty-five (45) days of receipt. Where reasonably necessary, that period may be extended once by an additional forty-five (45) days, with notice to the requester. If a request is declined, the requester may appeal the decision through the Support Center or by email to the address above, and Speed-to-Lead will respond to the appeal in writing. Speed-to-Lead will not discriminate against any individual for exercising a privacy right.

11. Children's privacy

The Service is intended for use by businesses and their adult representatives, and is not directed to children. Speed-to-Lead does not knowingly collect information from children under 13.

12. Location of processing

Speed-to-Lead's infrastructure and Providers are primarily United States-based. Some Providers may process information in other countries in the course of delivering their services; where they do, the transfer is governed by that Provider's own data-processing terms and the transfer safeguards described in them. By using the Service, Customer acknowledges that information may be processed in the United States and in other countries where Providers operate, whose data-protection laws may differ from those of Customer's or a Lead's place of residence.

13. Changes to this policy

Speed-to-Lead may update this Policy from time to time. Material changes will be notified through the Service or by email to the account owner before taking effect for existing Customers.
